What is Estate Cipher?
Estate Cipher creates private digital guides for luxury homes, estates, second homes, and luxury guest properties.
Each guide organizes the important knowledge of the home through written guidance, short instructional videos, and QR access. The goal is to help guests, family members, caretakers, household support, and property teams understand how the home works with confidence and less confusion.
Who is an Estate Cipher guide for?
Estate Cipher guides are designed for luxury homeowners, estate owners, second home owners, luxury guest property owners, custom builders, estate managers, household managers, and high end short term rental owners.
They are especially helpful for homes with smart systems, pool and spa controls, media rooms, specialty appliances, outdoor kitchens, climate zones, guest quarters, household support, or frequent guests.
What does a private digital guide include?
Every guide is custom built around the property. A guide may include written instructions, short instructional videos, home system guidance, appliance walkthroughs, amenity instructions, closing up guidance, important home system locations, and QR enabled access.
Common sections may include smart home controls, kitchen appliances, climate systems, pool and spa features, media rooms, outdoor living areas, laundry and linens, safety locations, and departure guidance.
How does someone access the guide?
The guide is accessed through a private link or QR code. Most clients choose to place a framed QR code in a convenient location inside the home, such as an entry area, kitchen, command center, or welcome space.
When scanned, the QR code opens the private digital guide on a phone, tablet, or computer.
Is the guide public?
No. Estate Cipher guides are designed to be shared intentionally with the people you trust to use or care for the home.
They are not intended to be public websites filled with private home information. The guide is accessed by private link or QR code and should only be shared with authorized guests, family members, caretakers, household support, or property teams.
Do you include passwords, door codes, alarm codes, or personal phone numbers?
We generally recommend keeping frequently changing or sensitive information separate from the core guide.
Estate Cipher guides are strongest when they focus on stable home knowledge, such as systems, appliances, amenities, important locations, and closing up guidance.
If needed, the guide can simply state that current access information is provided separately by the homeowner, host, or property manager.
Do you create the videos?
Yes. Estate Cipher creates short instructional videos for the home. Most videos are approximately 30 to 90 seconds and are designed to explain one specific appliance, system, amenity, or home function.
The videos are meant to be clear, focused, and easy to follow. They are not long home tours. They are practical walkthroughs that answer the questions people usually ask.
What kinds of videos can be included?
Video topics depend on the property, but common examples include how to use the smart home system, adjust thermostats, operate the pool or spa, use the media room, control outdoor speakers, operate specialty appliances, use the coffee station, locate important home systems, and close up the home before leaving.
For larger estates, videos may also include guest quarters, generators, mechanical rooms, gate entry, whole home audio, lighting scenes, water shut off locations, and caretaker guidance.
Is this only for short term rentals?
No. Estate Cipher serves luxury guest properties, but our guides are also designed for private residences, estates, and second homes.
Many private homeowners use the guide to help family members, grandparents, house sitters, caretakers, household staff, and trusted guests understand the home without relying on the homeowner for every answer.
Is this the same as a guest book?
No. A guest book is usually focused on welcome notes, local recommendations, house rules, and checkout reminders.
An Estate Cipher private digital guide goes deeper. It explains how the home functions. It may include written guidance and short instructional videos for the systems, amenities, appliances, and important home details that make the home work.
Do I need a guide if I already have a home binder?
A traditional home binder can be helpful, but binders are often incomplete, overlooked, or difficult to keep organized.
A private digital guide creates a more polished and accessible way to organize the knowledge of the home. Instead of searching through papers or texting the homeowner, trusted users can open the guide from their phone and find what they need.
How do I know which package is right for my home?
The right package depends on the size of the property, the number of systems and amenities, and who will use the guide.
Smaller luxury guest properties may need a simple guest guide.
Larger homes, second homes, and estates may need a more complete guide with additional systems, outdoor areas, guest spaces, and household support guidance.
After learning more about the property, Estate Cipher will recommend the guide level that best fits the home.
How long does the process take?
Timeline depends on the size and scope of the guide. A smaller guide may be completed more quickly, while a larger estate guide may require more planning, filming, editing, and organization. After the consultation, Estate Cipher will provide a recommended scope and timeline for the project.
What happens during the consultation?
The consultation is designed to understand the property, how it is used, and where a private digital guide would be most helpful
We discuss who uses the home, what questions come up most often, which systems or amenities need explanation, and which areas should be included in the guide. From there, we recommend the appropriate guide package and next steps.
Do you need access to the home to create the guide?
Yes. For most projects, Estate Cipher needs access to the home for filming and guide planning.
During the property walkthrough, we identify the systems, amenities, appliances, and home details that should be included. We then create short instructional videos and organize the information into a private digital guide.
Can the guide be updated later?
Yes. Minor updates may be available through Annual Guide Care. New videos, refilming, major system changes, renovations, or newly added features are quoted separately. Estate Cipher guides are intentionally designed around stable home knowledge so they do not require constant updates.
Is there an annual cost after the guide is created?
Yes. Each Estate Cipher guide includes twenty four months of private guide hosting, video access, and QR link management.
After the initial term, Annual Guide Care begins at $495 per year to keep the guide active, accessible, and maintained.
What does Annual Guide Care include?
Annual Guide Care includes continued private guide access, video access, QR link management, and basic guide maintenance.
New videos, refilming, major system changes, renovations, newly added amenities, or expanded guide sections are quoted separately.
What happens if I do not continue Annual Guide Care?
If Annual Guide Care is not continued after the included access term, the private guide may be archived and access may no longer remain active. Estate Cipher does not guarantee lifetime hosting or indefinite access without an active access term or renewal.
Do you work outside The Woodlands or Greater Houston?
Yes. Estate Cipher is based in The Woodlands, Texas and serves select properties throughout Greater Houston and surrounding luxury communities.
Travel and on site production fees may apply for properties outside the local service area. Destination projects are custom quoted after consultation.
What makes Estate Cipher different?
